Project workflow states

Every project moves through a defined set of states from planning to closure. Each transition is logged for audit.

The eight states

  1. Planned — project created, not started
  2. Approved — formally approved by management
  3. In progress — work has started; technicians and contractors are active
  4. On hold — paused for any reason (waiting on parts, weather, decisions)
  5. Under review — work complete, awaiting sign-off
  6. Completed — signed off, no further work expected
  7. Cancelled — project closed without completion
  8. Archived — completed projects archived for record-keeping

Advancing states

The project detail page shows Advance to next state buttons appropriate for the current state.

For backwards moves (e.g. completed → in progress, in case re-work is needed), use More actions → Change state.

Closing a project

When all work requests in the project are complete, advance to Under review. The project lead reviews and approves to move to Completed. After 90 days in Completed, projects auto-archive (configurable in Settings).

Why all the states

For most projects you’ll only touch four — Planned → Approved → In progress → Completed. The intermediate states (On hold, Under review) exist for projects that take months or have formal sign-off requirements (drydocks, classification renewals). You can ignore them for simple projects.
